Kiubo Colombia Travel General Terms and Conditions of Travel


1. General Information


Kiubo Colombia Travel (hereinafter, “the Company”) provides tourism services including tours, transportation, accommodation, flights, and experiences in Colombia.

Services may be requested by travel agencies, tour operators, airlines, tourist groups, and direct clients worldwide.

All service requests must be submitted in written form.

By requesting or booking services with the Company, the client agrees to these Terms and Conditions.


2. Travel Contract and Confirmations


An official travel contract is established between the Company and the client upon confirmation of services by Kiubo Colombia Travel.

All services must be confirmed exclusively by the Company.

From the moment of confirmation, these Terms and Conditions come into full effect.


3. Rates and Pricing


All prices:

  • Are provided in USD
  • Are net rates
  • Are per person (services) or per room (hotels)
  • Are valid only within the indicated period
  • Are subject to change without prior notice until confirmation

Exceptions:

We understand that tour operators who have already published catalogues with our prices cannot modify them. In such cases, the Company accepts reservations based on those previously published rates. Only in extreme situations may these rates be adapted.


4. Hotel Rates


If only one hotel rate is indicated, it refers to the lowest available standard room rate in low season.

Due to dynamic pricing systems (similar to airlines), hotels may confirm higher rates if lower-priced standard rooms are no longer available.

In such cases, the Company will always explicitly emphasize this situation in the confirmation.


5. Value Added Tax (VAT)


Foreign tourists are exempt from Colombian Value Added Tax (IVA, currently 19%) on accommodation, provided reservations and payments are made abroad.

All prices are therefore quoted without IVA.


6. Flights


Domestic flight prices are highly variable and depend on:

  • Reservation date
  • Travel date
  • Itinerary
  • Airline
  • Season

Flight fares must be reconfirmed at the time of booking and are always under request.

  • National airport fees are included in domestic fares
  • Infants (up to 2 years old) travel free of charge without the right to a seat and must be carried by an adult
  • Children between 2–12 years usually pay between 67% and 100% of the adult fare

Flight tickets:

Issued flight tickets are non-refundable. However, they may usually be reused by the same passenger at a later date subject to a rebooking fee.

The Company reserves the right to charge flight tickets before or at the moment of booking.


7. Bookings and Payment Policies


All bookings are subject to availability and are confirmed upon receipt of payment, unless otherwise agreed.

Unless otherwise specifically mentioned and confirmed, the following payment policies apply:

FIT (individual) services:

  • Full payment must be made at least 15 days before arrival

Group services:

  • 50% deposit at least 90 days before arrival
  • Final payment at least 30 days before arrival

Payments may be made via:

  • Bank transfer
  • Credit card
  • Cash

Special payment policies may apply and will be specifically informed and confirmed at the moment of confirmation.


8. Cancellation and Refund Policy


General Services (excluding flights)

  • Up to 60 days before arrival: 0%
  • 59–30 days: 15%
  • 29–22 days: 25%
  • 21–15 days: 35%
  • 14–8 days: 50%
  • 7–4 days: 60%
  • 3–1 days: 70%
  • On the day of arrival: 80%

Special cancellation policies may apply:

  • For groups
  • During high season
  • For specific hotels and services

These will be informed at the moment of quotation or confirmation.

Additional conditions:

  • Last-minute cancellations and no-shows are non-refundable
  • Refund processing may take approximately 5–15 business days


9. Changes and Unused Services


Changes to reservations may incur additional charges, which will be informed at the moment of modification.

If the customer does not use already confirmed services after arrival, no refund will apply. However, the Company will do everything possible to recover any refundable amounts from suppliers.


10. Exchange Rate


The Company has offered highly competitive prices for years, achieved through negotiation with providers and the application of favorable exchange rates between the Colombian Peso and USD/EUR.

Exchange rates are subject to internal policies and may fluctuate.


11. Groups


Group rates must be requested unless explicitly listed.

In general, it is possible to concede one Tour Conductor completely free of charge for every 15 full-paying passengers.


12. Children Policy


A maximum of two children or babies (under 12 years old, defined as 11 years and 364 days) may generally be accommodated free of charge in their parents’ room (2 adults), subject to reconfirmation at booking.

Expenses related to children or babies must be paid directly at the destination when applicable.

From 12 years onward, the full adult rate applies.


13. Client Responsibilities


Clients are responsible for:

  • Carrying and presenting valid travel documents (passport, visas, etc.)
  • Required vaccinations

The Company shall not be held responsible for missing documentation or vaccinations.

Clients must also comply with local laws and regulations.


14. Health Insurance


Clients are fully responsible for obtaining adequate travel and health insurance.

The Company shall not be held responsible for the absence of insurance or any resulting consequences.


15. Limitation of Liability


The Company’s liability is limited to refunds for services not provided due to faults directly attributable to the Company.

The Company shall not be held responsible for:

  • Injuries, accidents, losses, or delays
  • Actions or omissions of third-party providers (airlines, hotels, transport, etc.)
  • Natural events (fires, landslides, volcanic eruptions, weather, earthquakes, floods)
  • Illnesses or pandemics
  • War, strikes, riots, terrorism
  • Government restrictions, quarantines, or health advisories
  • Force majeure events or compliance with authorities


16. High-Risk Activities


The Company shall not be held responsible for damages or incidents arising from high-risk activities such as:

  • Buggy tours
  • 4x4 excursions
  • Helicopter flights
  • Jet skiing and similar activities

Clients participate in such activities at their own risk and may be required to sign a liability waiver.


17. Itinerary Changes


The Company reserves the right to modify itineraries due to operational, safety, or external conditions.


18. Data Protection


Personal data will be processed in accordance with applicable data protection laws.


19. Intellectual Property


All materials, content, and information provided by the Company remain its property and may not be reproduced without prior authorization.


20. Governing Law


These Terms and Conditions are governed by the laws of Colombia.
